We are looking for a detail-oriented and proactive People Operations Executive to support and manage the day-to-day administrative and operational functions of the People & Culture department.
The role will be responsible for maintaining accurate employee records, supporting onboarding and offboarding processes, coordinating attendance and payroll inputs, handling employee queries, maintaining People & Culture documentation, and supporting statutory compliance and audits.
The ideal candidate should be organized, dependable, and capable of independently managing routine People Operations activities with minimal supervision while maintaining confidentiality, accuracy, and compliance with company policies and applicable statutory requirements.
Qualification and Experience
- Bachelor's degree in Business Administration, Human Resources, Management, or a related field.
- 1–2 years of relevant experience in People Operations, or a similar role.
- Working knowledge of employee lifecycle processes, HR administration, payroll coordination, and statutory compliance.
- Knowledge of Labor Act, SSF, and other applicable employment-related requirements.
- Prior experience supporting internal or external audits will be an advantage.
- Familiarity with HRIS platforms is preferred.
Job Description
People Operations & HRIS
- Maintain and regularly update accurate employee records in the HRIS.
- Ensure proper filing, documentation, and maintenance of People & Culture records in accordance with company policies and statutory requirements.
- Maintain an updated repository of employee policies, procedures, and People & Culture by-laws.
- Prepare employment contracts, offer letters, experience letters, relieving letters, and other People & Culture-related documents.
Onboarding & Offboarding
- Coordinate the employee onboarding process, including preparation of induction materials and completion of required documentation.
- Ensure timely completion and filing of new hire documentation.
- Manage employee exit formalities, including clearance, documentation, and full & final settlement coordination.
- Issue experience and relieving letters and support the scheduling and coordination of exit interviews.
Attendance, Leave & Payroll Support
- Monitor and maintain employee attendance and leave records.
- Process leave applications and ensure timely updates in the HRIS.
- Generate attendance and leave reports as required.
- Collect, verify, and submit payroll inputs, including attendance, leave, and other relevant employee information.
- Coordinate with Finance/Payroll to ensure payroll inputs and documentation are accurate and submitted on time.
- Verify employee benefit claims and coordinate with relevant departments for processing.
- Support timely completion of payroll-related documentation and reconciliations.
Compliance & Audit
- Support compliance with applicable labor laws, including the Labor Act, Social Security Fund (SSF) requirements, and other statutory requirements.
- Maintain accurate and up-to-date statutory and People & Culture documentation.
- Assist in preparing documents, records, reports, and supporting evidence required for internal and external audits.
- Coordinate with relevant departments to gather information and documentation required during audits.
- Ensure employee records, contracts, attendance, leave, payroll-related documents, and other People & Culture records are properly maintained and audit-ready.
- Track audit observations, support corrective actions, and maintain proper documentation of compliance activities.
- Assist in identifying documentation gaps and follow up with relevant stakeholders for timely closure.
- Ensure People & Culture processes and records are aligned with company policies and applicable statutory requirements.
Employee Support & Query Management
- Act as the first point of contact for routine employee queries related to policies, leave, attendance, benefits, documentation, and People Operations processes.
- Provide clear and timely information to employees while maintaining confidentiality and professionalism.
- Exercise sound judgment when handling employee concerns and escalate complex employee relations matters to the People & Culture Manager when required.
Engagement & Learning & Development
- Support employee engagement activities, events, and initiatives.
- Coordinate training and Learning & Development (L&D) sessions, including scheduling, logistics, materials, and attendance tracking.
- Maintain accurate training and development records in the HRIS.
- Assist in collecting and maintaining employee and departmental training feedback.
- Support other People & Culture initiatives as required.
Required Skills
- Strong attention to detail with excellent organizational and administrative skills.
- Good working knowledge of MS Office, particularly Excel, Word, and PowerPoint.
- Ability to accurately maintain employee records and confidential information.
- Good understanding of People & Culture processes, payroll support, and statutory compliance.
- Strong documentation and record-keeping skills.
- Ability to independently manage routine tasks and employee queries with minimal supervision.

- Ability to coordinate effectively with employees, Finance, management, and other departments.
