The Executive Assistant to the CEO will provide high-level executive and administrative support to the CEO, ensuring effective management of the CEO’s schedule, meetings, communications, Board coordination, senior management activities, strategic assignments, and follow-ups.
Qualification and Experience
- Master’s degree in Management, Business Administration, Communications, or a related field.
- 3–4 years of relevant experience in Executive Assistance, Management Support, Corporate Affairs, Administration, or a similar role.
Job Description
1. Executive & Calendar Management
- Manage and maintain the CEO’s calendar, appointments, meetings, and engagements.
- Prioritize meeting requests and resolve scheduling conflicts effectively.
- Prepare meeting agendas, documents, presentations, and briefing materials.
- Ensure timely reminders and follow-up on important commitments.
- Coordinate travel arrangements, itineraries, accommodation, and other executive logistics.
2. Board Support & Coordination
- Coordinate Board meetings, events, and related logistics.
- Schedule meetings and coordinate with Board members and relevant stakeholders.
- Prepare, compile, and distribute meeting agendas and materials.
- Maintain records of Board meetings, decisions, and action points.
- Support the Board Secretary as required while maintaining confidentiality and compliance with applicable policies and bylaws.
3. Senior Management Coordination
- Coordinate meetings and agendas of the Senior Management Team.
- Attend meetings and support the CEO as required.
- Record key decisions and action items and follow up with concerned stakeholders.
- Track the progress of key assignments and provide timely updates to the CEO.
4. Executive Support & Communication
- Draft and prepare emails, letters, reports, presentations, and other official correspondence on behalf of the CEO.
- Coordinate communication between the CEO and internal and external stakeholders.
- Support the CEO in internal and external meetings, events, conferences, and official engagements.
- Maintain updated CEO profile, biography, organizational information, and other relevant materials.
5. Stakeholder Management
- Act as a coordination point between the CEO, Board members, senior management, business partners, regulators, and other stakeholders.
- Handle sensitive and confidential information with a high level of professionalism and discretion.
- Ensure timely communication and follow-up on matters assigned by the CEO.
6. Strategic Support & Special Projects
- Support the CEO in strategic initiatives, special projects, and assignments.
- Conduct research on industry trends, market developments, competitors, and business opportunities.
- Prepare briefing notes, research summaries, presentations, and other materials to support decision-making.
- Coordinate with relevant departments to track and execute CEO-led initiatives.
7. Reporting & Documentation
- Prepare and consolidate reports, dashboards, presentations, and management summaries as required.
- Maintain proper records of CEO meetings, decisions, correspondence, and action items.
- Develop and maintain trackers for key assignments and follow-ups.
- Ensure accuracy, confidentiality, and timely completion of all documentation.
