The Administration Manager is responsible for overseeing administrative operations, vendor management, procurement activities, and asset disposal processes to ensure efficient organizational support services. The role focuses on strengthening vendor relationships, ensuring compliance with procurement policies, managing administrative budgets, and improving operational efficiency across departments.

Qualification and Experience

  • Master’s degree in Business Administration, Management, Supply Chain, or related field.
  • Minimum 6–8 years of experience in administration, procurement, or operations management.
  • At least 3-4 years in a supervisory or managerial role.
  • Proven experience in vendor management, procurement processes, and administrative operations.

Job Description

Vendor Management

  • Evaluate vendor performance through KPIs, SLAs, and regular assessments.
  • Ensure vendors comply with contractual terms and organizational policies.
  • Maintain vendor performance records and implement improvement initiatives.
  • Develop and maintain long-term relationships with vendors to ensure service quality and reliability.

Procurement Management

  • Manage procurement activities, including planning, sourcing, evaluation, and contract management.
  • Conduct procurement through formal processes such as EOI, RFP, and RFQ in coordination with the procurement committee.
  • Negotiate favorable terms with vendors to achieve cost efficiency.
  • Prepare procurement plans aligned with organizational needs and budgets.
  • Ensure compliance with procurement policies and documentation standards.

Asset Disposal

  • Identify and manage disposal of obsolete or surplus organizational assets.
  • Coordinate with relevant departments to ensure secure and compliant disposal, particularly for IT assets.
  • Maintain disposal records in accordance with organizational policies and regulatory requirements.

General Administration

  • Lead and supervise the administrative team to ensure smooth daily operations.
  • Improve administrative processes and resolve operational issues.
  • Coordinate office management activities including events, renovations, and relocations.
  • Manage administrative budgets and monitor departmental expenses.
  • Support internal and external audits and maintain compliance with administrative policies.
  • Provide administrative support to the ESG Committee and lead the Occupational Health and Safety (OHS) Committee.
  • Liaise with government authorities, regulatory bodies, and external partners when required.
